Who we are

War Paint Fitness is an online coaching service run by Emma Brooks. For anything in this policy, contact emma@warpaintfitness.co.uk.

What we collect

• Coaching enquiries. If you use the application form or contact emma@warpaintfitness.co.uk and share your name, email, life stage, training experience, goals or realistic training days, that information is sent through our email delivery provider and held in Emma's email account so she can reply. After a successful application, your name and email are also passed to Zoom Scheduler to prefill the embedded booking step. Your coaching answers are not sent to Zoom. The website itself does not store an application.
• Blood testing. If you choose optional blood testing, your sample and results are handled by Forth under their own privacy terms. War Paint Fitness does not receive results automatically. If you choose to share relevant information with Emma, she may consider it alongside your training, nutrition and recovery; clinical interpretation remains with Forth or another healthcare professional.
• Emails and the free guide. If you sign up to the newsletter, ask for the free guide, or tick the optional box on the application form, we collect your email address (and first name if you give it), the date and time you consented, and which form you used. This is stored in Mailchimp, our email marketing provider.

How we use it

To reply to you and to run your coaching. We don't sell your data or pass it to advertisers.

Marketing emails

We only email you if you have actively ticked a box or confirmed by email. The newsletter and free guide use double opt-in, so you'll get a confirmation email before anything else. The legal basis for sending these emails is your consent. You can withdraw it at any time using the unsubscribe link in any email or by emailing emma@warpaintfitness.co.uk, and we'll stop straight away. We never share your address with anyone else for their marketing.

Where your data goes

Mailchimp, our email marketing provider, is based in the United States. The transfer is covered by Mailchimp's data processing terms and the UK-approved safeguards for international transfers. Zoom processes the name, email and appointment details needed to arrange a consultation. Our application-email provider and website host also process the data needed to deliver those services.

How long we keep it

Enquiry details are kept while we're talking and, if you become a client, for the length of your coaching and any period required for legitimate business records. Marketing email details are kept until you unsubscribe, after which Mailchimp retains only what it needs to honour the opt-out.

Removing your information

Email emma@warpaintfitness.co.uk and ask. You can request a copy of what we hold, a correction, or full deletion, and we'll action it. If you're unhappy with how we handle your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk.

Coaching is not medical advice. It works alongside your GP, never instead of them. Blood tests arranged through Forth are not a diagnosis — anything that needs medical attention should go to your GP or a qualified clinician.
